The following Terms and Conditions constitute a binding agreement between The Banyan Tree Learning Center (hereinafter referred to as “TBTLC”, “the Institute”, or “the Center”) and the student and their parent(s)/guardian(s) (hereinafter collectively referred to as “the Student” or “the Parent”).
By seeking admission, submitting the online or offline admission form, or continuing enrollment at TBTLC, the Student and Parent acknowledge that they have carefully read, understood, and agreed to abide by all rules, regulations, and policies stated herein.
These Terms & Conditions are designed to:

Maintain transparency and consistency in the academic, administrative, and behavioral functioning of the institute.

Safeguard the interests of both students and staff.

Uphold a culture of discipline, accountability, and respect within the learning environment.
TBTLC reserves the absolute right to modify, amend, or update these Terms & Conditions as deemed necessary in the interest of institutional integrity or evolving educational needs. Any such modification shall be effective immediately upon publication on the official website or other recognized communication channels. Continued enrollment will imply acceptance of all such revisions.
1. Trial Period
1.1 Purpose and Intent
The Trial Period is a short-term engagement offered by TBTLC to allow prospective students to experience the institute’s teaching methodology, faculty interaction, academic rigor, and classroom environment before confirming their admission for the academic year.
It serves as a mutual evaluation period for both the student and the institute to determine compatibility in terms of learning style, commitment, and expectations.
1.2 Duration and Structure

The standard duration of the trial period is a maximum of ten (10) consecutive calendar days, which may include lectures, tests, or academic activities as scheduled for the respective batch.

The trial period shall begin on the first day the student attends class and automatically conclude after the tenth day unless extended at the discretion of the management due to special circumstances (e.g., school exams, holidays).

Participation during the trial period is subject to seat availability in the desired batch.
1.3 Admission Status During Trial

Participation in the trial period does not confirm admission to TBTLC.

A seat will be reserved and admission confirmed only upon:
a. Successful completion of the trial period to the satisfaction of the faculty and management.
b. Payment of the first installment of fees.
c. Completion of the personal interview involving both parents and the student.
1.4 Student Conduct During Trial

Students attending the trial period are expected to adhere to all institutional rules, including punctuality, discipline, and respectful behavior toward faculty and peers.

Any form of misconduct, indiscipline, or non-cooperation during the trial period shall result in immediate withdrawal of the trial privilege and cancellation of potential admission.
1.5 Attendance and Participation

Regular attendance and active participation during the trial period are essential for evaluation.

Irregular attendance or disinterest may be considered as withdrawal from the trial without notice.
1.6 Discontinuation of Trial by the Institute

TBTLC reserves the right to discontinue the trial period at any point if:
a. The student demonstrates lack of seriousness or non-compliance with academic requirements.
b. The student disrupts classroom decorum or fails to meet behavioral expectations.
c. The Center determines that continuation is not in the mutual interest of the student and the institution.
1.7 Parental Involvement

Parents are encouraged to observe and discuss their child’s experience during the trial period with the respective faculty or administrative coordinator.

Constructive feedback is welcome; however, parents must refrain from interfering in classroom proceedings or communicating feedback through unofficial channels.
1.8 Post-Trial Admission Decision

Upon completion of the trial period, the institute will communicate its decision to the parents regarding the student’s eligibility for admission.

Admission may be offered, deferred, or declined based on academic performance, classroom behavior, and seat availability.

Once admission is confirmed, the trial period days will be considered part of the academic schedule for the enrolled student.
1.9 Withdrawal During Trial

If a student or parent chooses to discontinue the trial voluntarily, they must inform the office in writing.

There shall be no obligation on the part of TBTLC to reserve a seat or consider priority admission for future intakes.
1.10 Limitations of the Trial Period

The trial period is an optional facility extended by TBTLC as a gesture of transparency and goodwill.

It does not constitute any binding agreement or contractual assurance of admission.

TBTLC shall not be held responsible for any expectations, commitments, or interpretations arising from the trial period experience unless expressly confirmed in writing.

2. Batch Timings

2.1 Institutional Authority Over Scheduling

The Banyan Tree Learning Center (TBTLC) retains full and exclusive authority to determine, assign, and modify batch timings, class schedules, and lecture durations for all academic programs and courses offered.
Such scheduling decisions are made after careful consideration of multiple operational and academic factors, including but not limited to: -
School timings of enrolled students,

Faculty availability,

Classroom and facility capacity,
-
Overlapping subjects or examination periods, and
-
Institutional efficiency and pedagogical effectiveness.

This clause is intended to ensure optimal learning experiences for all students while maintaining smooth institutional operations.

2.2 Flexibility and Adjustments in Timings

The institute may, at its discretion, alter class timings, extend or reduce lecture durations, or rearrange schedules in response to any of the following circumstances:

National or public holidays,

Sudden school timetable changes or school examinations,
-
Faculty illness or unavoidable absence,
-
Institutional events, workshops, or seminars,
-
Force majeure events (natural calamities, emergencies, etc.).

All such changes shall be communicated to students and parents in advance through official communication channels, primarily WhatsApp or the official website, wherever possible.
The Center, however, shall not be held liable for any inconvenience caused due to sudden rescheduling necessitated by unforeseen circumstances. -
2.3 Non-Negotiability of Timings

Once a batch timing has been assigned to a student, no request for individual alteration shall be entertained on grounds of personal convenience, extracurricular activities, transportation, or other private commitments.

Requests to change batch timings will only be considered under exceptional circumstances, such as:
a. A permanent change in the student’s school hours duly verified by documentation, or
b. A medical condition supported by certified medical records. -
The final decision regarding any such request rests solely with the management, whose discretion shall be binding and final.

2.4 Batch Allocation Process

Upon admission confirmation, each student shall be allocated a specific batch based on factors such as school timing, subject combination, and seat availability.

The institute ensures that all batches maintain an optimal teacher-to-student ratio, thereby preserving the quality of personalized attention.

Reallocation to another batch may be done only by TBTLC administration, based on academic or operational requirements, not personal preference.

2.5 Attendance Expectations with Respect to Timings

Students are expected to arrive at the institute at least five minutes before the scheduled start of each lecture.

Late entry beyond a reasonable grace period (typically 10 minutes) may result in the student being denied entry for that session, which will be marked as absent.

Habitual tardiness will invite disciplinary action as per institutional policy.

2.6 Coordination with School Timetable

TBTLC endeavors to coordinate its batch timings with the respective schools of enrolled students to minimize clashes between school and coaching schedules.

However, the institute shall not be obligated to adjust its timings if multiple schools under different boards follow incompatible schedules.

In such cases, students and parents must manage their commitments accordingly to ensure attendance at both institutions.

During periods of high academic pressure (e.g., pre-board or final examinations), the Center may temporarily modify class durations or frequency to provide additional revision or test sessions.

Students and parents are required to cooperate with these temporary changes in the interest of better academic outcomes.

The Center reserves the right to conduct special lectures, mock tests, guest sessions, or parent–teacher meetings outside of regular batch timings, including weekends or public holidays.

Prior notification will be issued at least one day in advance, except in urgent academic circumstances.

Attendance for such sessions shall be considered compulsory unless specifically exempted by the administration.

2.9 Communication of Timetable Updates

Parents and students are expected to regularly check these channels for updates. Failure to stay informed shall not constitute valid grounds for missing a class or test.

The institute’s decision in all matters concerning batch allocation, scheduling, or rescheduling shall be final, binding, and non-contestable.

TBTLC bears no responsibility for loss of convenience, travel difficulties, or conflicts with external activities arising from official timetable changes.
3. Communication
3.1 Official Communication Policy
The Banyan Tree Learning Center (TBTLC) recognizes the importance of clear, consistent, and prompt communication between the institution, students, and parents.
To maintain transparency and prevent misinformation, all official communication shall be conducted exclusively through approved channels designated by the institute.
Any communication conducted outside these channels shall not be recognized as official or binding upon the institute.
3.2 Authorized Communication Channels
The following modes are considered official and valid for all academic, administrative, and financial communication:
a. WhatsApp – designated as the primary channel for sharing class schedules, test timetables, reminders, announcements, and urgent notices.
b. Email – for detailed correspondence requiring written documentation, fee receipts, academic progress reports, or other formal communication.
c. Telephonic Contact – for emergencies or immediate coordination during operational hours.
d. In-person Meetings – for pre-scheduled academic consultations or parental interactions with teachers or management.
e. Official Website or App (if applicable) – for publishing institutional notices, circulars, or updates relevant to all students.
The institute reserves the right to introduce additional digital platforms or discontinue existing ones as necessary for operational convenience, after appropriate notice to parents.
3.3 WhatsApp as the Primary Mode of Communication

Each student and parent must provide a valid and active WhatsApp number at the time of admission.

This number will be added to official TBTLC WhatsApp groups created for each batch or purpose.

All updates shared in these groups will be deemed as formally communicated once delivered to the group.

Parents are responsible for regularly checking messages and updates. Failure to do so shall not constitute grounds for exemption from attendance, tests, or fee deadlines.
3.3.1 Confidentiality and Usage Rules

WhatsApp groups exist solely for the dissemination of official updates, academic notifications, and institutional information.

Personal conversations, unsolicited opinions, forwarded messages, or irrelevant media sharing are strictly prohibited.

Any disrespectful or inflammatory communication in official groups will result in immediate removal from the group and disciplinary action against the concerned student or parent.

Parents and students must not create or participate in unofficial sub-groups using the TBTLC name or members for any purpose.
3.3.2 Response and Acknowledgment Protocol

Where acknowledgment is requested by the institute (e.g., “Please confirm receipt”), parents are expected to respond within a reasonable timeframe.

Lack of acknowledgment will not nullify the validity of the notice or its applicability to the student.
3.4 Direct Communication with Teachers and Management

Parents may directly message teachers or administrative staff through WhatsApp for academic queries, doubts, or updates, provided communication remains respectful and concise.

Teachers are not obliged to respond outside of working hours. Queries received late in the evening or during weekends may be addressed on the next working day.

For sensitive or complex issues, parents must request a formal appointment for a one-on-one discussion instead of lengthy text exchanges.

Teachers are advised not to make commitments regarding policy, scheduling, or fee matters; such decisions rest solely with the management.
3.5 Escalation and Grievance Redressal
In case of unresolved concerns or miscommunication:

If unresolved, the issue may be escalated to the Academic Coordinator or Center Head through a formal WhatsApp or email request.

For financial or administrative matters, parents should contact the Accounts or Administration Office directly.

The institute shall make all reasonable efforts to address genuine concerns promptly and fairly within the framework of its policies.
The escalation process must always be respectful, fact-based, and solution-oriented. Harassment, repetitive complaints, or inappropriate tone in communication may result in restricted correspondence with the concerned party.
3.6 Parental Responsibility in Communication

It is the parent’s duty to remain informed by checking messages and notices shared through official channels.

Parents must notify the institute promptly in the event of:

b. Prolonged unavailability due to travel or medical reasons. -
Failure to maintain updated contact details may result in missed communications for which TBTLC will bear no responsibility.

All communication, including WhatsApp messages, emails, and call logs, may be archived by TBTLC for administrative and disciplinary reference.

The content shared in official groups or messages is confidential and intended solely for members of the institute community.

Reproduction, forwarding, or public dissemination of official messages, announcements, or internal information without written consent constitutes a breach of confidentiality and may invite legal and disciplinary action.
3.8 Official Announcements and Notifications

All announcements regarding schedule changes, holidays, examinations, extra classes, or policy updates shall be made through official channels.

Information circulated via personal messages, hearsay, or unofficial parent groups will not be acknowledged as valid communication.

The institute bears no obligation to individually remind students or parents of already announced information.

Receipt of such communication by the parent’s registered contact number or email address shall be deemed as valid service of notice under institutional policy.
4. Attendance
4.1 Mandatory Attendance Requirement
Regular attendance is the cornerstone of consistent academic progress. Therefore, all students enrolled at The Banyan Tree Learning Center (TBTLC) are required to maintain a minimum attendance of 90% in both lectures and tests scheduled by the institute.
Attendance shall be recorded daily, and any absence, without prior intimation or legitimate reason, will be treated as an unauthorized absence.
Failure to maintain adequate attendance may result in:
a. Exclusion from internal assessments or mock tests.
b. Withholding of progress reports or academic feedback.

4.2 Punctuality and Discipline in Attendance

4.3 Procedure for Reporting Absence

Repeated failure to uphold these responsibilities will be viewed as parental non-cooperation and may limit the student’s access to certain academic privileges or resources.
4.8 Disciplinary Consequences for Irregular Attendance
The institute reserves the right to initiate disciplinary action in cases of chronic absenteeism, which may include:

All students are required to treat every test with the same seriousness as a formal examination, and participation in such assessments is mandatory for continuation in the course.
The test system forms the foundation of the center’s feedback mechanism. Non-compliance with testing schedules will directly affect the student’s academic standing, progress tracking, and eligibility for internal recognitions or advanced batches.
5.2 Mandatory Participation

Violations will attract immediate disqualification, a score of zero, and may lead to termination of enrollment in severe cases.
A formal incident report will be recorded, and parents will be notified accordingly.
5.6 Evaluation and Result Declaration

c. Retain all answer sheets and test papers safely until the completion of the academic year.
Failure to engage with post-test learning may reflect in periodic reviews shared with parents.
5.8 Communication of Test Performance

Faculty may also communicate individual observations or improvement strategies via WhatsApp or during scheduled meetings.

5.9 Academic Integrity Clause
The Banyan Tree Learning Center upholds academic integrity as a non-negotiable value.
Any attempt by a student or parent to manipulate test results, influence teachers, or tamper with evaluated answer sheets will be treated as academic misconduct and will lead to:

All test data, marksheets, and performance records maintained by the institute — whether digitally or in print — shall serve as authentic institutional documents.
Parents and students acknowledge that these records shall be treated as final proof of performance and participation and may be used in any official correspondence, reporting, or dispute resolution.
6. Classroom & Facility Guidelines
6.1 Purpose and Scope
These guidelines are designed to ensure that all students of The Banyan Tree Learning Center (TBTLC) experience a safe, structured, and academically conducive environment.
Every student and parent, upon admission, agrees to abide by the behavioral and operational norms stated herein, both within and immediately outside the premises of the institute.
Non-compliance with these norms will attract disciplinary action, which may include warnings, suspension, or termination of enrollment without refund.
6.2 General Conduct within the Premises

Students are expected to maintain decorum, discipline, and politeness at all times while on the premises.

Any behavior that disturbs the learning environment — including loud conversation, use of foul language, horseplay, or defiance toward faculty or staff — shall be treated as misconduct.

Respect toward teachers, peers, administrative staff, and property is non-negotiable.

Students must adhere to instructions issued by faculty or management without argument or deliberate delay.
Any form of insubordination, verbal aggression, or disruptive behavior shall result in immediate disciplinary action and may affect continued enrollment.
6.3 Premises Entry and Exit Protocols

Students must arrive and leave strictly according to their batch timings.

Early arrival beyond 15 minutes before the session or lingering on the premises after class is not permitted, unless authorized by the administration.

Students awaiting pick-up by parents must remain in designated waiting areas and refrain from loitering near entrances, staircases, or neighboring establishments.

Students commuting independently must inform their parents upon arrival and departure using the office phone or their personal devices under supervision.
Violation of these protocols may result in disciplinary warnings or parental notification.
6.4 Personal Belongings and Responsibility

Each student is solely responsible for their personal belongings, including bags, books, stationery, water bottles, and electronic devices.

TBTLC does not bear liability for any loss, theft, or damage to personal property within the premises.

Students are strongly discouraged from carrying valuables, cash, or non-academic items to class.

Found items will be held in the office for a maximum of seven (7) days before being considered unclaimed.

12.2 Parental Responsibilities

The institute enforces a zero-tolerance policy against intimidation, verbal abuse, or harassment of its staff by parents or guardians.
12.5 Parental Collaboration During Disciplinary Actions

12.10 Declaration of Parental Conduct Agreement
By submitting the admission form—whether online or offline—parents and guardians hereby declare that they:

13. Disciplinary Actions

All students and parents are bound by these provisions from the date of admission or commencement of the trial period, whichever occurs first.
13.2 Grounds for Disciplinary Action
A student may be subject to disciplinary measures for any of the following acts or omissions, including but not limited to:

Academic Irregularities — habitual late submission or non-completion of homework, revision, or self-study tasks; lack of preparedness for class; or deliberate neglect of academic duties.

Failure to complete assigned academic work or to remain updated with the ongoing syllabus shall be treated as academic negligence.

b. Restriction on the student’s gadget usage within premises; and/or

Repeated violations may result in disciplinary action, including temporary suspension or confiscation of the device during academic hours.

Parents, by enrolling their ward, consent to such digital monitoring, recognizing that it is undertaken solely for the child’s academic welfare and behavioural guidance.
13.5 Methods of Disciplinary Intervention

The institute may, where deemed necessary for transparency, record short video clips or photographs of the disciplinary intervention or the student’s explanation of the issue.

a. Personally with the concerned parent via WhatsApp; or

All disciplinary decisions, once ratified by management, shall be final, binding, and not open to negotiation or appeal.
14. Declaration
14.1 Acknowledgement of Terms
By submitting the admission form—whether online or offline—or by participating in any class, orientation, or trial session of The Banyan Tree Learning Center (TBTLC), both the parent/guardian and the student hereby acknowledge, declare, and affirm that they have carefully read, understood, and accepted all the Terms and Conditions, policies, and procedures stated herein.
This acknowledgement applies equally to every rule published on the institute’s website, official communication platforms, printed materials, and any subsequent updates issued by management.
14.2 Binding Nature of Agreement

Submission of the admission form or commencement of the trial period constitutes a legally valid and binding agreement between the parent/guardian and TBTLC.

14.6 Final Acceptance
By completing the admission process or attending classes under either the trial or confirmed enrollment period, the parent/guardian and student:

15. Legal Jurisdiction, Liability & Indemnity

Both parents/guardians and students expressly agree not to initiate or pursue any legal proceedings outside this jurisdiction.
15.2 Limitation of Liability
